Privacy Policy
Your data, used the way you'd expect.
Last updated: May 1, 2026. Applies to kickr.ca and the KICKR league. KICKR operates in Toronto, Ontario, Canada and is governed by Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
The short version
- We collect only what we need to run the league and process your payment.
- We never sell, rent, or share your information with advertisers or data brokers.
- Payments are handled by Stripe. KICKR never sees your card number, CVC, or full bank details.
- No tracking cookies. No advertising pixels. No third-party analytics on this site.
- You can request a copy of your data, correct it, or have it deleted at any time. Email league@kickr.ca.
What we collect
When you register for KICKR, we ask for:
- Identity and contact: first name, last name, email address, phone number.
- Match logistics: jersey size, preferred jersey number, position preference, weekday and time-slot availability, optional notes you choose to share.
- Payment: Stripe collects and stores your card details on its own servers. KICKR receives only a payment confirmation and a non-sensitive customer reference, never the card number itself.
- Operational logs: standard server logs (IP address, browser type, request timestamps) kept for 30 days for security and abuse prevention.
We do not ask for or store your date of birth, government ID, address beyond city, social media accounts, or anything else not listed above.
Why we collect it
- Run the league: assign you to teams, print the right jersey, schedule you into the time slots you can actually make.
- Communicate with you: send your weekly fixtures, venue changes, weather cancellations, and roster updates by email.
- Process payment: charge $192 CAD per month, send receipts, and process refunds per the refund policy.
- Keep the league fair: prevent duplicate signups, contact you if a teammate flags a no-show, follow up on injuries.
Who we share it with
Three parties, all required to actually run the league:
- Stripe processes your payment. Your card details go directly to Stripe and are governed by their privacy policy. Stripe is a PCI-DSS Level 1 certified payment processor.
- Our email service provider sends your registration emails, weekly fixtures, and receipts. They process your name and email solely to deliver mail on KICKR's behalf and are bound by a data-processing agreement.
- Our hosting and database provider stores your registration record on encrypted servers in Canada. They have no access to the data and act only as a custodian.
That's it. We don't share data with advertisers, marketing networks, analytics platforms, sponsors, or anyone else. If KICKR ever runs sponsored content or partner promotions, those will be sent from KICKR directly. Your email is never handed over.
How long we keep it
- Active player records (name, contact, preferences) are kept for as long as you have an active subscription, plus 12 months after you cancel so we can welcome you back without making you re-enter everything.
- Payment and tax records (invoices, refund history, amount paid) are kept for 7 years to satisfy Canada Revenue Agency record-keeping rules.
- Server logs are kept for 30 days, then deleted automatically.
- Email logs (delivery confirmations, bounce reports) are kept for 90 days for troubleshooting.
You can request earlier deletion at any time, except for payment records that we are legally required to retain.
Your rights under PIPEDA
You have the right to:
- Access a copy of every piece of personal information we hold about you.
- Correct anything that is inaccurate or out of date.
- Delete your account and personal data, subject to the 7-year retention requirement on payment records noted above.
- Withdraw consent for non-essential communications at any time. Note that if you withdraw consent for match-logistics emails, we cannot continue to roster you.
- File a complaint with the Office of the Privacy Commissioner of Canada at priv.gc.ca if you believe we have mishandled your information.
To exercise any of these rights, email league@kickr.ca from the address you registered with. We respond within 7 days.
Cookies and tracking
kickr.ca sets no tracking cookies, analytics cookies, or advertising pixels. The site does not load any third-party analytics, advertising network, social-media tracker, or behavioural-profiling script. The only browser storage we use is a small technical session token used to keep your form filled in if you reload the page.
Stripe's hosted checkout page (which you visit when you pay) sets its own cookies for fraud prevention. Those are governed by Stripe's privacy policy linked above.
Security
- All traffic to and from kickr.ca is encrypted with TLS 1.3.
- Card details never touch KICKR's servers. They go directly from your browser to Stripe.
- Database and email systems are protected by strong secrets stored in encrypted secret managers, rotated periodically.
- Access to player data is restricted to the KICKR league operator. No support contractors, no third-party admins.
Age
KICKR is an 18+ league. We do not knowingly collect personal information from anyone under 18. If you believe a minor has registered, email league@kickr.ca and we will delete the record.
Changes to this policy
If we make a material change (for example, adding a new vendor or beginning to use analytics), we will email every active player at least 14 days before the change takes effect, and update the "Last updated" date at the top of this page. Trivial wording fixes do not trigger an email.
